1 Getting Started with Canva

🏠 Open Canva Homepage

Opening Canva

  1. Open your web browser (Chrome, Safari, or Edge)
  2. Go to www.canva.com
  3. You should already be logged in with the school account
  4. If not logged in, click "Log in" and use your school credentials

Understanding the Homepage

When you open Canva, you'll see the Homepage (also called Dashboard).

What you'll see:

Left Sidebar Menu:

Center Area:

Your recent designs are saved automatically, so you can always find them on the homepage!
Use the search bar to find ANYTHING - type "school poster" or "newsletter" and Canva will show you relevant templates instantly!

2 Creating Your First Design

Method 1: Using the Create Button

  1. Click the purple ➕ Create button in the top left
  2. A menu will appear with many options

For school communications, infographics are incredibly effective! They make data and information visually appealing and easy to understand for parents and staff.

3 Working with Templates

📋 Open Templates Library

Templates are pre-designed layouts that you can customize. This is the EASIEST way to create professional designs!

Finding Templates

  1. Click 📋 Templates in the left sidebar, or use the link above
  2. You'll see the Templates page with categories

Education-Specific Template Links

Using a Template

  1. Click on a template you like
  2. A preview will open
  3. Click the purple Customize this template button
  4. The template opens in the editor - now you can change everything!
Look for templates marked "EDU" - these are designed specifically for education!
Don't like the colors? You can change EVERYTHING in a template - colors, fonts, images, text. Think of templates as a starting point, not a final design!

4 Understanding the Editor

When you open a design, you enter the Editor. This is where you make all your changes.

This is your design! Click on anything to select and edit it.

The left sidebar is your toolbox! Click on different tools to see what's available. The Elements section alone has millions of graphics, photos, and shapes you can use for free!

5 Adding and Editing Elements

Elements are the building blocks of your design: shapes, icons, photos, graphics, and more.

Opening the Elements Panel

  1. Click ⭐ Elements in the left sidebar
  2. You'll see categories:
    • âŦœ Shapes - Circles, squares, lines
    • 🎨 Graphics - Icons, illustrations, stickers
    • 📷 Photos - Stock images
    • đŸŽŦ Videos - Video clips
    • 🔊 Audio - Music and sound effects

Adding an Element

  1. Browse or search for what you need
  2. Click on any element to add it to your design
  3. It appears on your canvas

Editing an Element

Action How to do it
â†”ī¸ Move Click and drag the element
📐 Resize Click the element, then drag the corner circles
🔄 Rotate Click the element, hover near a corner until you see the rotation icon, then drag
đŸ—‘ī¸ Delete Click the element, then press Delete key or click trash icon
Hold Shift while resizing to keep proportions!
Search for "school", "education", or "learning" in Elements to find graphics perfect for school communications. Try "arrow", "checkmark", or "star" for useful decorative elements!

6 Working with Text

Adding Text

  1. Click âœī¸ Text in the left sidebar
  2. You'll see options:
    • Add a text box - Creates an empty text box
    • Add a heading - Large text
    • Add a subheading - Medium text
    • Add body text - Smaller text
  3. Click any option to add text to your design

Editing Text

  1. Double-click on any text to edit it
  2. Type your new text
  3. Click outside the text box when done

Formatting Text

When you click on text, a toolbar appears at the top with these options:

Keep fonts consistent! Use 2-3 fonts maximum in one design.
For school communications, use clear, readable fonts like Open Sans, Lato, or Roboto. Avoid overly decorative fonts for important information - save those for headings only!

7 Uploading Your Images

You can add your own photos and images to any design.

How to Upload

  1. Click âŦ†ī¸ Uploads in the left sidebar
  2. Click the purple Upload files button
  3. Select images from your computer
  4. Wait for upload to complete
  5. Your images appear in the Uploads panel

Using Your Uploaded Images

  1. Go to âŦ†ī¸ Uploads in the left sidebar
  2. Click on any image you've uploaded
  3. It adds to your design
  4. Resize and position as needed
You can upload PNG, JPG, and GIF files. PNG files with transparent backgrounds work great for logos!
Drag and drop! You can drag images directly from your desktop or a folder onto the Canva canvas - no need to use the upload button every time!

8 Editing Photos

Canva has powerful photo editing tools built right in.

Editing a Photo in Your Design

  1. Click on any photo in your design
  2. Click Edit image in the top toolbar (or double-click the image)
  3. Use the editing tools that appear

Key Photo Tools

Tool What it does
âœ‚ī¸ Background Remover Automatically removes the background from photos. Great for placing people/objects on new backgrounds!
đŸĒ„ Magic Eraser Remove unwanted objects from photos. Just brush over what you want to remove.
đŸŽšī¸ Adjustments Brightness, contrast, saturation, filters and effects
âœ‚ī¸ Crop Cut out parts of an image or change its shape
🔄 Flip Mirror an image horizontally or vertically
The Background Remover is incredibly useful! Upload a photo of a person, remove the background, and place them on any design. Perfect for staff photos, student spotlights, or event materials!

9 Editing AI-Generated Images (NotebookLM)

🤖 Special Workflow: Editing Images from NotebookLM or Other AI Tools

If you've created an image using NotebookLM, ChatGPT, or another AI tool, here's how to polish it in Canva:

Step 1: Save the AI Image

  1. Right-click on the AI-generated image
  2. Select "Save image as..." or "Download"
  3. Save it to your computer (remember where you saved it!)

Step 2: Upload to Canva

  1. Go to Canva
  2. Click ➕ Create → choose a size (or "Custom size" to match your image)
  3. Click âŦ†ī¸ Uploads in the left sidebar
  4. Click Upload files and select your AI image
  5. Drag the uploaded image onto your canvas

Step 3: Enhance the AI Image

Now you can improve it! Here's what you might want to do:

🎨 Add School Logo Upload your logo → drag it onto the design
⭐ Add Elements Click Elements → add shapes, icons, decorations
âœ‚ī¸ Crop the Image Double-click the image → drag the corners to crop
đŸŽšī¸ Adjust Colors Click image → Edit image → use Adjustments
📐 Resize for Different Uses Click Resize → choose poster, social media, etc.
AI images often need text refinement! The AI might have created placeholder text or the text might not be quite right. In Canva, add a shape over the text area, then add your own text on top - much cleaner!
If the AI image has weird artifacts or mistakes, use Canva's Elements to cover them up with shapes, graphics, or additional images!

  2. Download the image to your computer
  3. Upload to Canva
  4. Enhance with text, logos, elements
  5. Export as PNG or PDF

10 Resizing Your Designs

Need the same design in different sizes? Use Resize!

How to Resize

  1. Click Resize in the top toolbar
  2. You'll see options:
    • Suggested sizes - Based on your design
    • Custom size - Enter exact dimensions
    • Categories - Social media, Print, Presentations

Copy & resize Creates a NEW copy in the new size (keeps original) ✅ Recommended!
Resize this design Changes the current design's size (replaces original)
Create once, use everywhere! Make a poster, then use "Copy & resize" to instantly create Instagram, Facebook, and email versions. Massive time saver!

11 Saving and Exporting

Auto-Save

Canva automatically saves your work as you go. You'll see "All changes saved" in the top menu. You can never lose your work!

Downloading Your Design

  1. Click the Share button (top right corner)
  2. Click Download
  3. Choose your file type (see table below)
  4. Click the purple Download button

File Types Explained

Format Best for When to use
PNG Images, transparency Social media, websites, emails
JPG Photos, smaller files When file size matters
PDF Standard Documents Emailing, viewing on screen
PDF Print High-quality printing Professional printing, posters
PPTX PowerPoint Presentations you'll edit in PowerPoint
For most school uses: PNG for digital/screens, PDF Print for anything you'll print. When in doubt, download both!
